Direct and oversee the facilities management, housekeeping & maintenance staff and safety program of the 24/7 veterinary hospital including. Evening, weekend and on-call work may be required.

Qualifications:

• Bachelor’s Degree in Construction Management, Engineering or similar preferred
• IFMA’s FMP or CFM certification preferred
• OSHA Safety Trainer Education preferred
• Minimum 5 years’ experience in managing maintenance or housekeeping personnel, preferably in multi-site healthcare setting
• Proven expertise in facilities management, including: working knowledge of diagnostics, repairs and maintenance of facility systems and equipment, including but not limited to: electric, plumbing & HVAC; safety regulation compliance; vendor/contractor relationships; supply management; personnel management
• Computer literacy with proven expertise in MS Outlook, Excel, Word, PowerPoint

Physical Requirements:

Responsibilities:

Human Resource Management

• Recruit, interview, hire, schedule, orient and train housekeeping/maintenance staff with assistance of HR Manager
• Make recommendations to HR Manager & Hospital Administrator for staffing strategies & employee merit increases
• Maintain optimal housekeeping/maintenance staff while minimizing payroll and overtime
• Maintain training and development programs for housekeeping/maintenance staff with assistance of HR Manager
• Conduct 90-day and annual performance reviews for housekeeping staff with assistance from HR Manager
• Provide coaching & counseling, disciplinary action and recognition for housekeeping/maintenance staff with assistance from HR Manager
• Coordinate and run departmental staff meetings as needed
• Work with other departmental managers to augment their departments through facilities management
• Assist Hospital Administrator, HR Manager and departmental managers with development, implementation and enforcement of Employee Policy Manual and Hospital Procedure (SOP) Manuals

Facility Maintenance & Housekeeping

• Maintain and repair facility’s structure, grounds and MEP/HVAC systems; coordinate with outside contractors/vendors as needed and review bids/budget with Hospital Administrator & Financial Administrator
• Maintain clean and safe grounds outside of hospital, including coordination of seasonal landscaping and leaf/snow/ice removal
• Make recommendations for new facilities management supplies/equipment
• Maintain contracts and PM/service agreements for facilities management functions, including but not limited to:
• Landscaping
• Trash & Recycle Removal
• Cleaning Products/Supplies
• Major Medical Systems/Equipment
• HVAC
• Order and maintain housekeeping/maintenance supply inventory; review budget with Hospital Administrator & Financial Administrator as requested
• Direct housekeeping/maintenance staff in maintaining a clean, ergonomic, environmentally-friendly, safe, odor-free, aesthetically-appropriate hospital

Equipment Maintenance

• Maintain and repair in-house equipment; coordinate with departmental managers and outside contractors/vendors/biomedical equipment repair companies as needed; review bids/budget with Hospital Administrator & Financial Administrator
• Maintain service manuals and QC logs for in-house equipment & facility systems
• Equipment includes, but is not limited to:
• MEP & HVAC Equipment
• Fire/Sprinkler/Access/CCTV Systems
• Laundry Equipment
• Central Vacuum System
• Medical Vacuum System
• Oxygen/Nitrogen Tanks
• Cages/Runs/Tables/Tubs
• Clinical Equipment (Diagnostic Equipment, IV Pumps, Clippers, Heating Pads, etc)

Safety Coordination

• Maintain OSHA documentation for workplace injuries and post documentation per regulations
• Complete incident reports & investigations for all employee injuries and refer employee to HR Manager for Workers Compensation Policy information
• Maintain safety committee per regulations for 5% WC discount
• Maintain safety manual, safety station and MSDS books
• Coordinate, chair and run safety committee meetings; distribute meeting minutes and save to Shared Drive
• Update, communicate and enforce safety policies with departmental managers and quarterly staff meetings
• Orient and document new employee safety training prior to starting work in their new position
• Renew OSHA safety training annually with all staff
• Review fire drill/evacuation route/panic button plan annually with all staff
• Maintain OSHA labels on all supplies, chemicals, and equipment
• Maintain safety issues including, but not limited to:
• Emergency & perimeter lighting/power, power outage SOP, panic buttons, security CCTVs
• Fire extinguishers, smoke detectors, sprinkler system
• Schedule Risk Mgmt, OSHA and Fire Marshall inspections and ensure township compliance

Open Client Service Positions

The Client Service Representatives (CSR) are key members of our team. They are responsible for promoting a friendly and professional environment where emphasis is placed on compassion, quality, integrity, and service.

The CSR is the first person with whom clients or potential clients will talk when they call. They must be courteous and communicative. They are the voice of the hospital and are responsible for providing accurate information and a caring attitude. The CSR also is the last person with whom clients speak upon leaving. Our CSRs make them feel welcome and let them know how much we appreciate that they trust us to provide their pets with quality veterinary attention.

Duties will include, but are not limited to:

• Using veterinary specific software for maintaining patient records
• Alternate between the front desk and high-volume call center positions
• Accurately schedule appointments for multiple specialties
• Identify the need for critical triage requests
• Processing documents (e-mails, faxes, filing and scanning)
• Processing patient paperwork (check-in, admissions and discharges)
• Communication with veterinarians concerning client financial information
• Handling financial transactions while providing exemplary client service

VSEC is an extremely busy emergency and specialty practice providing 24 hour emergency services. We NEVER close and therefore working on holidays will be a requirement of this position.

Veterinary Specialty and Emergency Center welcomes participation from veterinary students from all accredited veterinary colleges in the form of a clinical externship.

The duration of the clinical externships are flexible but generally range from 2-12 weeks depending on the type of externship program and accredited veterinary college requirements for individual students. Externs are responsible for all personal expenses including housing, travel, transportation and food. If requested, recommendations for housing can be made. Summer employment externs will be offered a stipend. Externship programs should be arranged at least 3 months in advance of the requested start date.

Externship Eligibility:

Any veterinary student in good academic standing from an accredited college of veterinary medicine is eligible for an externship. Clinical externships are offered for students during their rotating clinical year(s) and summer employment externships are offered for freshman and sophomore veterinary students.

If an applicant is requesting a clinical externship during their junior or senior year, a letter indicating approval of the externship from the applicant's veterinary college should also be included. Enrollment in the Externship Program:

Once an invitation for a clinical externship is extended, the student is responsible for appropriate enrollment for their college. A faculty member from the veterinary college of origin should be designated as responsible for the conduct of the extern. Student externs are required to have their own health insurance.
