Summary: Manage the human resource functions of the 24/7 veterinary hospital, including but not limited to management of employee relations in accordance with all federal and state labor relation and employment laws, practices, procedures and ethics while fostering a practice culture consistent with the VSEC Strategic Plan. Some evening, weekend and on-call work is required.

Qualifications:

• Minimum 5 years human resource management experience
• Bachelor's Degree with emphasis in human resources required
• PHR or SPHR certification preferred
• Demonstrated knowledge of all federal and state labor relation and employment laws, practices, procedures and ethics
• Demonstrated success coaching and counseling employees
• Experience reporting to and working with business owners and management team

Job Responsibilities:

Departmental Development & Maintenance

• Establish and maintain human resource policies and procedures in accordance with federal, state and local labor relation and employment laws/regulations
• Possess advanced knowledge of federal state and local labor relation and employment laws/regulations
• Possess working knowledge of applicable federal and state veterinary laws, regulations and codes of ethics
• Implement Human Resource Information Systems (HRIS) with assistance of Hospital Administrator & IT Manager
• Develop and implement annual HR compliance audits
• Develop and maintain recruitment tracking system/software program
• Develop and maintain new hire & employee orientation process, including background and drug screening
• Update and maintain confidential employee personnel files
• Update and maintain job descriptions, pay scales and promotional testing up periods
• Update and maintain Employee Manual
• Update and maintain employee HR forms on company intranet
• Work with legal team as needed

Recruitment, Performance Evaluation & Disciplinary Action

• Assist management team with recruitment, orientation, training, evaluation, coaching, counseling and termination of employees
• Identify recruitment needs and tactics for new and existing CSR positions
• Create and place ads for available positions with departmental managers as needed; work with IT Manager for online ad placement
• Assist owners and management team with providing an attractive, competitive, fulfilling and fair work environment for candidates and current employees
• Review applications, interview candidates, process background checks & drug screenings, perform reference checks, draft offer letters, etc as needed with departmental managers as needed
• Review Strategic Plan, new hire packet, orientation program and employee manual with new hires
• Develop and maintain training programs with departmental managers
• Coach owners, doctors, management team, departmental managers and assistant managers on delivering disciplinary action, including but not limited to: Performance Evaluations, Promotion Notices, Coaching & Counseling Forms, Performance Agreements, Exit Interviews, Separation Letters and Unemployment Hearings
• Create OR review, edit and approve all documentation for Performance Evaluations, Promotion Notices, Coaching & Counseling Forms, Performance Agreements, Exit Interviews, Separation Letters and Unemployment Hearings
• Direct or attend all meetings for Performance Evaluations, Promotion Notices, Coaching & Counseling Forms, Performance Agreements, Exit Interviews, Separation Letters and Unemployment Hearings
• Assist management team with the following HR segments of their job descriptions:
• Professionally and privately address any employee immediately for actions/behaviors that do not adhere to the Strategic Plan, Employee Policy Manual and Hospital Procedure (SOP) Manuals
• Provide disciplinary action through documented coaching (including incentives and rewards) and counseling (including performance agreements and discharge). Complete corresponding Coaching & Counseling document with employee for any disciplinary action; copy to relevant management team members and save to employee's personnel file with assistance of HR Manager
• If employee is not a direct report, disciplinary action must be communicated to direct manager
• Provide written evaluations (90 day and annual) for all assigned staff according to the time schedule outlined with assistance of assistant managers, HR Manager and Hospital Administrator

Benefits Administration

• Maintain benefits packages for eligible employees with assistance of benefits brokers and TPA's
• Perform Health & Dental plan administration
• Perform Short & Long Term Disability and Life Insurance plan administration
• Perform 401(K) plan administration
• Assist Financial Manager with employee compensation records, payroll, PTO, bonus and CE benefit administration
• Assist Financial Manager and Coordinators with employee pet care discount benefit administration
• Assist Administrative Assistant with uniform allowance benefit administration
• Maintain census of employee eligibility for aforementioned benefits
• Investigate and implement an Employee Assistance Program

Miscellaneous HR Management

• Collaborate with management team to ensure all employees are afforded a safe and fair work environment in accordance with federal, state and local labor relation and employment laws/regulations while fostering open communication and trust in the workplace
• Coach owners, doctors, management team, departmental managers and assistant managers on resolution of intradepartmental and interpersonal issues
• Work with management team to update, implement and enforce hospital policies and procedures
• Interact daily with management team and employees foster an open line of communication and trust, and to address/resolve open HR-related issues
• Attend departmental meetings as needed
• Conduct in-house HR-related continuing education for staff
• Conduct investigations to identify and address issues regarding labor relations and employment law including, but not limited to: diversity, sexual harassment, discrimination, employee disputes, and wage & hour claims
• Assist departmental managers with maintenance of optimal scheduling, staffing and payroll matrices

Professional Development

• Maintain subscriptions (Veterinary Practice News, Veterinary Economics, AAHA Trends, DVM News Magazine, SHRM journals) to keep abreast of the latest trends in veterinary practice management and human resource management
• Attend continuing education courses and maintain applicable licensing requirements
• Perform related work and additional duties as requested by Owners/Hospital Directors

We are seeking a driven, experienced Client Service Manager with a desire to work in a fast-paced environment while supporting our vision, mission and core values. Since we are a 24/7 hospital, the Client Service Manager will be expected to work a variable schedule, including day, evening, weekend, and holiday hours.

The Client Service Manager duties include, but are not limited to:

• Lead and manage the daily functions of the Assistant Client Service Representative Manager's (ACSRM) and Client Service Representative's (CSR) in providing stellar customer service and exceeding expectations of both pet owner clients and referring veterinarian clients
• Leverage customer service through the other 8 members of the management team
• Resolve client/rDVM client service issues with assistance from management team as needed
• Create and update CSR job descriptions with Hospital Administrator
• Maintain CSR job levels and corresponding pay rates with Hospital Administrator
• Maintain confidential CSR personnel files, according to state and federal laws, with HR Manager
• Conduct CSR departmental meetings and participate in other departmental meetings as needed
• Maintain optimal ACSRM/CSR staffing levels and schedule to ensure maximum productivity/service and minimal payroll

The Client Service Representative (CSR) is a key member of our team responsible for promoting a friendly and professional environment where emphasis is placed on compassion, quality, integrity and service. The CSR has one of the most important and most challenging jobs. The impression you make is a lasting one that can shape a client's entire view of the practice.

VSEC is an extremely busy emergency and specialty practice providing 24 hour emergency services. We NEVER close and therefore working on holidays will be a requirement of this position.

Veterinary Specialty and Emergency Center welcomes participation from veterinary students from all accredited veterinary colleges in the form of a clinical externship.

The duration of the clinical externships are flexible but generally range from 2-12 weeks depending on the type of externship program and accredited veterinary college requirements for individual students. Externs are responsible for all personal expenses including housing, travel, transportation and food. If requested, recommendations for housing can be made. Summer employment externs will be offered a stipend. Externship programs should be arranged at least 3 months in advance of the requested start date.

Externship Eligibility:

Any veterinary student in good academic standing from an accredited college of veterinary medicine is eligible for an externship. Clinical externships are offered for students during their rotating clinical year(s) and summer employment externships are offered for freshman and sophomore veterinary students.

The application should include a current curriculum vitae and information regarding the type, duration and preferred schedule for the externship.

If an applicant is requesting a clinical externship during their junior or senior year, a letter indicating approval of the externship from the applicant’s veterinary college should also be included. If an applicant is requesting a summer externship of employment, letters of approval are not required.

Enrollment in the Externship Program:

Once an invitation for a clinical externship is extended, the student is responsible for appropriate enrollment for their college. A faculty member from the veterinary college of origin should be designated as responsible for the conduct of the extern. Student externs are required to have their own health insurance.

Clinical externs are responsible for all personal expenses including housing, travel, transportation and food. If requested, recommendations for housing can be made.

Summer employment externs will be offered a stipend.

Externship programs should be arranged at least 3 months in advance of the starting date.
